Food Vendors for our 2025 Festival:

  1. Food Vendor Applications Open: Monday, April 21, 2025
  2.  Applications Close: Friday, May 16, 2025
  3.  Notification of Acceptance: Monday, May 19, 2025
  4.  Payment Due: Friday, May 23, 2025
  5.  All documents/payments due: Friday, June 6, 2025

We desire to curate a diverse offering of cuisine to our festival attendees.  Burgers and fries, of course.  And, also lobster rolls, Pad Thai, empanadas, and more.

Here are some answers to basic questions for our potential Food Vendor applicants:

What are the dates and location for Maplewoodstock 2025?

Maplewoodstock 2025 will be held on Saturday, July 12 and Sunday, July 13 at Memorial Park in Maplewood, NJ.

How many people are expected to attend?

We anticipate an estimated 12,000-14,000 attendees over the weekend.

What is the vendor fee and what does it include?

The registration fee is $895.00 and includes a 10’ x 10’ outdoor space for both days. Vendors must bring their own tent, tables, chairs, and setup materials. Electricity is not available.  (Read further below for rules to provide your own generator.)  NOTE also:  the ground is generally flat on grass, but be prepared to have wedges for your tables on account of any slight wobbles.

Is my application automatically accepted?

No. All applications are reviewed to ensure food variety. Acceptance is not guaranteed and is based on first come, first served and diversity of offerings.

What types of food and beverages can I sell?

Only pre-approved food and non-alcoholic beverages are permitted. Unauthorized products must be removed upon request.

Do I need insurance or permits?

Yes:

• Certificate of Insurance with Maplewoodstock listed as additional insured ($1 million minimum aggregate)
• Health Permit for non-Maplewood vendors
• Fire Safety Permit if using open flames

Are generators allowed?

Yes, but they must be placed in designated areas and vendors must provide noise baffling. Non-compliant generators will not be permitted.

Can I use grills, propane, or hotboxes?

Yes. All heating/cooking devices are subject to inspection by the Fire and Health Departments.

What are the vending and setup hours?

  • Setup: Begins 7 a.m. on Saturday and 10 a.m. on Sunday; NOTE:  aside from a limited number of pre-approved Food Trucks, all vehicles are NOT allowed to stay parked on the grass field once set-up is complete, but will will have privileged access to agencent streets during the hours of the event. Signs will help direct you to this location.
  • Must be fully operational by 11:30 a.m.
  • Sell for a minimum of 6 hours per day
  • Cleanup starts around 8:00 p.m.

Are refunds available for cancellations or weather?

No. The festival is rain or shine. No refunds will be issued for vendor withdrawal or festival cancellation after June 6, 2025.
